Introduction

Eucalyptus (through one of its employing entities, including Fill Function UK Ltd, of 12 New Fetter Lane, London, United Kingdom, EC4A 1JP or Juniper Europe BV of Kraijenhoffstraat 137 A, 1018RG Amsterdam, the Netherlands) is committed to ensuring the confidentiality and security of your personal data. This privacy notice describes how we manage the personal data of prospects and candidates (you) for a position with us, and how we respect your privacy in accordance with data protection law, including the UK or EU GDPR (as applicable).

How do we collect your personal data?

Sometimes you provide us with personal data and sometimes we collect it from third parties.

  • Directly from you: For example, from a job application or CV you submit
  • Third parties: For example, we may be passed your information by external recruitment providers, or receive information about you from those organisations that you have asked us to use for professional or academic references such as a previous employer or a college or university, or background check providers

What personal data do we collect?

Depending on the circumstances, we collect some or all of the personal data listed below. This may include sensitive personal data (known as 'special category personal data' under data protection laws).

Categories of personal data

  • Personal details - Your name, address, date of birth, gender, nationality, residency and work permit status
  • Contact data - Your address, email address, telephone number
  • Your education and employment history - Current job title, qualifications, education and work history; technical skills; professional certifications and information provided by references
  • Sensitive personal data - Equal opportunities-related data, such as your racial or ethnic origin, religious beliefs, or sexual orientation; disability status or health conditions; and any criminal conviction and offences
  • Other data - Any extra information (including sensitive personal data) that you choose to tell or provide to us

Depending on the type of personal data and the grounds on which we may be processing it, should you decline to provide us such data, we may not be able to progress your application

How and why do we use your personal data?

Data protection law requires that we only use your data for purposes that we tell you about and where we have a legal basis to do so. Here are the purposes and legal bases for which we process the personal data talked about above:

  • To facilitate our recruitment or onboarding process. Use of Artificial Intelligence

During the application and onboarding process, we may create information pertaining to your application such as interview notes, feedback, internal communications. We may use artificial intelligence tools to analyse application materials, interview recordings, or assessment responses to assist in evaluating candidates. These tools may generate insights, summaries, or recommendations about your application.

Who do we share your data with?

Sometimes it is necessary for us to share your personal data with third parties. Your personal data is shared only when strictly necessary and according to the safeguards, and for the purposes, detailed in this privacy notice.

  • Eucalyptus group companies: we may share your personal data in certain circumstances with other companies across the Eucalyptus group.
  • Third party service providers: we share your personal data with various third-parties that we rely upon to perform a variety of services on our behalf and to help us grow and improve our business, such as IT service providers (including cloud IT service providers), our professional advisors such as lawyers and accountants, and our benefits and pension scheme providers
  • Regulators or other authorities: we will share your personal data where we are legally required to do so or where we think this is required and we are permitted to do so, for example to respond to a request for cooperation from a relevant authority

Overseas transfers of personal data

From time to time, we may transfer your personal data to parties outside of the United Kingdom,

e.g. to Eucalyptus group companies in Australia and the EU, or to third party service providers with servers located in the United States.

Where we do so, we ensure a similar degree of protection is afforded to your personal data as in the UK or in the EU. We do this by sending your data to countries that the UK and EU have deemed to provide essentially equivalent protection (an 'adequacy decision'), by entering into UK or EU approved standard contractual clauses (SCCs) with the relevant party, or, for transfers to the United States, by ensuring the recipient is certified under the UK Extension to the EU-US Data Privacy Framework (also known as the UK-US Data Bridge), where applicable.

How do we protect your personal data?

We care about protecting your personal data. We will hold it as either secure physical records, electronically on our intranet system, in cloud storage, and in some cases, as records on third party servers, which may be located overseas.

We maintain appropriate physical, procedural and technical security for our offices and information storage facilities so as to prevent any loss, misuse, unauthorised access, disclosure, or modification of personal information. This also applies to disposal of the personal information.

We further protect personal information by restricting access to your personal information to only those who need access to the personal information to do their job. Physical, electronic and managerial procedures have been employed to safeguard the security and integrity of your personal information.

However, please remember that you provide personal data at your own risk: unfortunately, no data transmission is guaranteed to be 100% secure.

How long do we keep your personal data?

We will keep your personal data for no longer than is necessary for the purposes for which we collected it and for a period of time after we have informed you of the outcome of your application. We will retain your personal data if your application is successful and/or you enter a contract with us.
